Conference and City Tour Fee Details:
- All fees are quoted in Canadian dollars and are inclusive of 12% HST.
- The conference registration fee:
- includes dinners on May 16th (opening day) and May 18th (closing day) and lunches on May 17th and May 18th; and
- does not include accommodations, breakfasts (May 16th to 19th) and city tour (May 19th).
- The student registration rate is discounted. Please help subsidize these registrations by sponsoring a student. Suggested amount is $40 but any amount will be greatly appreciated.
- The city tour fee includes guided bus tour, lunch, and all gratuities. Travel insurance and dinner are not included in the city tour fee.
Cancellation / Refund Policy (Conference Registration):
- Any cancellation of or change to a conference registration must be received in writing via email to wcilcos.2012@ubc.ca
- Registrants who cancel on or before April 15, 2012 will forfeit a $30 administrative fee.
- No refunds will be granted for failure to attend the conference or for any cancellation or changes made after April 15, 2012.
- All refunds will be processed after the conference.
- In the event an activity is cancelled for reasons beyond the control of UBC and Ohio, UBC and Ohio will not be responsible for any cancellation charges assessed to conference registrants or other participants, including but not limited to charges assessed by airlines, travel agencies, or hotels. Liability insurance is the responsibility of individual conference registrants and other participants.
Cancellation/Refund Policy (City Tour):
- No refunds will be granted for failure to attend the city tour or for any cancellation or changes made to city tour registration after May 1, 2012. No partial refund will be granted for any unused services provided in the city tour itinerary.
- UBC and Ohio reserve the right to modify the city tour itinerary for any reason without liability.
- UBC and Ohio shall not be liable for any harm to person or property which arises as a result of a conference registrant or other participant taking part in the city tour. The purchase of travel insurance by all conference registrants and other participants is strongly recommended.
Canadian Visa Requirements:
Obtaining appropriate visa and travel documentation is not the responsibility of UBC and Ohio. For information regarding appropriate visa and travel documentation for conference participants, please visit the Canadian Government website. UBC and Ohio cannot organize visas or other travel documents on your behalf. Please contact wcilcos.2012@ubc.ca for invitation letters, if required.
Travel and Medical Insurance:
The Canadian Medical Health Insurance Plan does not cover visitors to Canada. Conference registrants and other participants are responsible for arranging their own travel and medical insurance coverage before coming to Canada.
